Accounts

Customer records used to keep track of points earned, purchase history, store credits, and marketing communications.

Back Office (BackOffice.exe)

BackOffice.exe is the Bepoz application that allows administrative access to the database for functions such as menu programming, inventory management, reporting, etc.

BePOZUpd.exe

A Bepoz command line application which manages new version downloads and upgrades in conjunction with Database.exe.

Client Terminal

Any computer that is not hosting an HQ or Venue SQL Database. Client terminals may run the SmartPOS.exe and/or BackOffice.exe application.

Condiments

Condiments are a Product Mode in Bepoz used to create a picking process for cashiers to follow when entering orders. A product may be defined as a condiment in the product mode, or it may be a standard product that is called as a condiment in another product.

Database (Database.exe)

Database.exe is the Bepoz application which configures each computer’s database connectivity, and Till assignment during setup. It is also responsible for database backups, restores, and some low level database maintenance.

Device

Devices are a group of configuration settings that enable Bepoz to communicate with a peripheral or software integration. Each time a peripheral is connected to a Till, a Device should be added for that Till in Bepoz to define the communications between the peripheral and SmartPOS.exe.

EFTPOS

Electronic Funds Transfer POS, refers to transactions in which credit card process is handled by Bepoz SmartPOS.exe.

HQ Server

The computer hosting SQL server for a multi-venue company. The HQ server may be a physical machine residing in a Venue, HQ Office, or hosted virtually.

Jobs

Events within Bepoz setup to execute on a schedule. Events may call a Bepoz function or an external application to execute.

KDS Server

A Terminal designated to run the KDS Manager application for integration with the Bematech LS6000 Kitchen Display System (KDS). It receives KDS orders from the Tills, and manages all LS6000 displays in the network. This Terminal is not required to be the Venue or HQ Server.

Normal Product

The most basic Product Mode, a Normal Product represents a single item that may be ordered. This item may be a single boxed item or menu item. If Condiments are attached, Bepoz will present a selection process to pick the desired Condiments when the item is ordered.

Multi-Venue System

A business that operates multiple Venue locations all managed by Bepoz.

Operators

Company representatives who are users of Bepoz, including janitors, cashiers, servers, managers, owners, and others who require some level of access to Bepoz to perform work duties.

Package Fixed

A Product Mode which includes a fixed selection of Normal Products.

Package Selection

A Product Mode which includes a group of Normal Products requiring a picking choice.

Printer Definitions

Printer Definitions enable Bepoz to work with virtually any receipt printer. Printer Definitions contain communications and format settings that must be sent to a receipt printer by Bepoz each time a print job is initialized. Bepoz contains a library of existing printer definitions, but new definitions may be quickly created by copying and modifying an existing definition.

Printer Formats (Receipt Formats)

Printer Formats are receipt formats. They may be used to alter the format or content of the receipt. There are 4 types of default Printer Formats, called Format Types: Receipt, Invoice, Prize Promo, and Kitchen Display. Printer Formats are found in BackOffice.exe | System Setup Tab.

Printer Profiles

A Printer Profile may be created and assigned to each Product in Bepoz. The Printer Profile is a list of Printer Types where the Product should print when sold. Printer Profiles are found in BackOffice.exe | System Setup Tab.

Printer Types

There are 13 Printer Types available to the Till. in Bepoz. While all Tills will have the same 13 Printer Types, the specific Printer and Printer Format assigned to that Printer Type may vary at each Till. Settings for Printer Types are found in the BackOffice.exe | System Setup | Venues, Stores, & Tills | Till Edit screen.

Product Change by Range

A Bepoz function that allows a group of products to be change at once based upon grouping.

Product Mode

When products are created, this setting determines how Bepoz responds to the product being sold. Product Modes include Normal Product, Condiment, Package Fixed, Package Selection, and Comment Display Only.

Product Sorts

Customized categories which may be applied to each product. 4 Product Sorts may be assigned and used by the system to manage restaurant coursing. Sorts may also be used for reporting and Change by Range filters.

Product Types

A secondary method of applying custom categories to products, similar to Product Sorts, but not used for restaurant coursing.

Server

Generic reference to either the HQ or Venue Server.

Server Workstation

Definition required when editing the Venue settings. This term is synonymous with Venue Server.

Shifts (Venue)

Bepoz shifts are created at the Venue level as specific periods of time for the sake of revenue tracking.

Shifts (Employee)

Employee shifts refer to the full cycle that a cashier or server must perform daily to account for revenue generate and cash returned. Employee shifts may coincide with Shifts, but Bepoz is flexible enough that this is not required.

Smart Controller (SmartControl.exe)

The backbone communications application for Bepoz. Smart Controller must run on each HQ Server and Venue Server. It manages subscription licensing, SQL database access, printer routing, jobs, and all background process management of the solution.

Smart Print (SmartPrint32.exe)

Smart Print is the Bepoz application for printer communications management. Bepoz bypasses Windows printer sharing on networks with this application, which integrates with Smart Controller.

Store

A location within a Venue where inventory is stored (Tills are optional), or products are sold (Tills must exist).

Terminal

Generic term to describe a Server, Workstation, Till, or multi-role Windows computer

Till

A computer terminal for making sales. The Till must run the SmartPOS application to perform transactions.

Venue

A physical business site.

Venue Server

A functional role of a Windows computer hosting SQL server for a Venue.

Workstation

A computer that connects to the Venue Server or HQ Server with the BackOffice application to perform administrative functions to the database.
